Inviting people to record

Updated October 8, 2026

Share the link however suits your audience

Every campaign has a single shareable link, shown on the Share tab. There’s no special app or invite system — anyone with the link can open it and record, so you can send it through whatever channel your group already uses. The tab also has an Email button that opens a pre-written message, and a QR code you can download as PNG or SVG.

  • Email or a calendar invite
  • Slack, Teams, or WhatsApp
  • Text message
  • A QR code on a printed card or poster for in-person events (use Print on the Share tab)

Getting a better response rate

  • Tell people roughly how long it’ll take ("30 seconds, no app needed") — people are far more likely to click through when they know it’s quick, and naming the "no app" part specifically removes the single biggest hesitation people have.
  • Give people a date and mention it in your message; open-ended requests get put off indefinitely. On Expert you can also have the link close by itself with Schedule.
  • Send one friendly reminder a few days before the deadline — it noticeably lifts response rates without feeling pushy.
  • For larger groups, having the request come from someone the group already knows (a manager, a close colleague) outperforms an anonymous company-wide blast.

Tracking who’s responded

The Responses tab shows videos as they come in. Whoosh can’t tell who hasn’t responded to a shared link, so for smaller groups it’s often easiest to keep your own list and cross off names as responses appear. On Pro and above, Ask a candidate for a video under Automations creates a personal link per person and marks each request Waiting, Recorded or Expired.

Why one shared link beats individual invitations

Some tools require generating and tracking a separate invite per person, which works fine for ten people and becomes real administrative overhead at a hundred. Whoosh’s single-link model means sending to five people or five hundred takes exactly the same effort — the only thing that changes is who shows up in your dashboard afterward.
